It this the right setup for users with one Nextcloud group folder shared localy through NFS?

We use Nextcloud files to access everything we need with 2 little brick and mortar shops. We work on Linux with a multiseat setup, that means we have 2 screens, keyboards and mouses connected to one computer only, one computer in each shop. One Nextcloud group folder contains nearly every document we work on, regardless we need to share them between us. The Nextcloud personal spaces are rarely used, neither the user’s personal folders on the computer.

Curently, there is one Nextcloud group folder, that one can access from each user’s Nextcloud space on Nextcloud web server. This very same folder is synced on a local hard drive with various NFS shared. Hence, the group folder is localy accessed through NFS. To avoid duplicating datas, the Nextcloud desktop app is setup in 2 part:

  1. User’s Nextcloud space syncing without the group folder
  2. The group folder syncing on the local hard drive

Our common work is mainly on LibreOffice spreadsheets. Using NFS it seems that LibreOffice and Nextcloud can’t handle conflicts very well, but we are a small team and that is not a big problem.
The group folder contains a lot of images and pdf that are often updated. Files size vary through 1 Mb to 150 Mb. It is not heavy, but because we are located in countryland, our internet connexion is not so fast (max 1 Mbits/s).

Is this the right setup ? is there something better and clever ?
Is it possible to launch the Nextcloud sync client from the Linux anonymous user to sync the group folder only once (instead of each user)? In this case how could we handle conflicting files ?
Should we setup the images and pdf part with another syncing to avoid slowing down our spreadsheets files syncing ?
Should we setup more group folders to ease users access?
